How EduMaster360 Runs Many Academies on One Codebase: A Multi-Tenant LMS for Latin America

EduMaster360 is a learning platform for Latin America that sells courses to individuals, companies and governments, and resells itself as white-label academies with their own domain, brand and payment accounts. WebMinds has been building it since January 2026. Today it is a multi-tenant LMS for academies with twelve systems in production: an LMS with interactive video, an AI tutor, multi-gateway payments, white-label tenants, organizations, affiliates and co-production, recurring billing, consent-aware tracking and contracts with electronic signature, all on one multi-tenant backend with row-level security.

Key facts

  • Client: EduMaster360, a learning platform for Latin America serving individuals, companies and government bodies
  • Scope: 12 systems in production, from the LMS and AI tutor to payments, white-label, billing and contracts
  • Data model: 158 database tables, 155 with row-level security and 89 isolated by tenant
  • Content: 1,000+ lessons across 75 courses, with 2,400+ lessons completed and 150+ certificates issued
  • Payments: 4 gateways (Stripe, Wompi, ePayco and Bold), with credentials per academy
  • First white-label client: Octopia, migrated from another LMS with a domain switch in production

The context: three businesses on one platform

EduMaster360 started as a course marketplace for Latin America with three audiences: individuals, companies and government bodies. From the start the business needed far more than a catalog: AI in the learning experience, local payment gateways and currencies, and the ability to resell the platform under someone else's brand, as white-label academies with their own domain, without one client's data ever touching another's.

Midway through, the first white-label client, Octopia, arrived from another LMS with its courses, students and site.

The challenge, point by point:

  • Three business models on one platform: a B2C marketplace, white-label academies and B2B/B2G organizations, each with its own catalog, billing and reporting rules.
  • Latin American payments and billing: local gateways alongside Stripe, USD pricing charged in COP, DIAN e-invoicing and payment credentials per academy.
  • Total isolation between clients: each academy needs its own domain, brand, sender address, gateways, pixels and students, with zero data leakage.
  • Migrating a live client without losing anything: courses, lessons, quizzes and site from a previous LMS, with a domain switch in production.

Why off-the-shelf LMS platforms did not fit

A typical hosted LMS is designed around one school selling its own courses. EduMaster360 needed something else: each academy with its own payment accounts, sender domain and tracking pixels; Latin American gateways, COP billing and DIAN e-invoicing; and revenue sharing between authors, co-producers, affiliates and the platform enforced by the system rather than kept in spreadsheets on the side. Bolting those requirements onto a single-school product would have meant fighting its data model at every step.

EduMaster360 is not a course site; it is the operating system of an education business. Most of the complexity lives in the database and its rules: who sees what, who is charged how much, who earns a commission, which academy sends which email, and which version of which document someone accepted. That called for custom web application development with multi-tenancy as the foundation, not an add-on.

What we built: a multi-tenant LMS for academies, one codebase

Twelve systems on one multi-tenant backend. The course catalog is the visible part; underneath, the platform decides who sees what, who pays what and who gets paid. Screens are on the EduMaster360 case study page.

Core LMS

Academies, courses, modules and lessons (video, text, H5P and assignments), sequential unlocking, a quiz engine with 7 question types and publicly verifiable certificates.

Interactive video

Timeline points pause the lesson for a quiz, a note, a challenge, a poll, a link or a checkpoint, turning passive video into an active lesson.

AI layer: tutor, copilot and authoring

A 6-mode personal tutor, a per-course copilot, a configurable public assistant with RAG, and AI authoring for lessons, quizzes and images. The model can be switched from the admin without a deploy. This is how we approach AI automation in education: AI inside the learning experience and the authoring workflow, under the platform's control.

White-label academies

Each tenant is resolved by host. Academies get a custom domain with automatic SSL, dynamic branding, their own sender, their own payment accounts and plan-based feature gating.

Isolation is the foundation. Every academy is resolved by host and isolated by tenant and row-level security; the marketplace itself is modeled as "no tenant". Two dedicated hardening sprints and a CI guardrail keep it that way.

No email leaves with the wrong brand

Webhooks and crons have no origin domain, so every background email must carry its tenant explicitly. If one does not, it is flagged in Sentry before it becomes a problem. In a multi-tenant LMS, this is the kind of detail that protects each academy's brand.

Commerce and recurring billing

Cart, coupons, bundles, 4 gateways, recurring billing with tokenized cards and protection against double charges, plus daily cost and margin per client.

Billing never charges twice: the recurring-billing cron claims each invoice with an atomic update, keys idempotency on the payment reference and treats gateway timeouts as "uncertain" without burning a retry.

Organizations, affiliates and co-production

Seats and bulk invites for companies, referral tracking, revenue sharing in SQL with a guaranteed platform share, and payout requests. A database trigger prevents authors and co-producers from adding up to more than what is left after the platform's share, and the server recalculates contract totals and splits instead of trusting the browser.

Consent-aware tracking

13 client-side pixels plus Meta, TikTok and GA4 server-side APIs, with geolocated Google Consent Mode v2 and encrypted tokens.

Contracts and electronic signature, built in-house

Versioned legal documents with SHA-256 fingerprints, a validated contract wizard, PDF generation and self-hosted electronic signature with full audit evidence. Documents are frozen with their hash when sent, signer tokens and email codes are stored hashed, and each signature records IP, device, location and the exact document fingerprint. Published legal versions are immutable.

Hybrid AI Coding

Senior engineering leads architecture, data modeling, security and every client decision, while AI agents (Claude Code) implement at speed and every change passes an independent review before it ships. That is how 618 commits and 299 migrations landed in about nine months.

Under the hood

Behind every course page sits a business engine:

  • 155 tables with row-level security (of 158)
  • 443 security policies
  • 575 SQL functions
  • 151 database triggers
  • 299 migrations, about 67,000 lines of SQL
  • 111 API endpoints

The stack: Next.js, TypeScript, Supabase (Auth, Storage, Vault), PostgreSQL row-level security for multi-tenant isolation, Gemini for the AI tutor and RAG, Stripe and Wompi among the payment gateways, Resend for per-tenant email and Vercel for domains and crons.

Results

What the platform delivers today, in verified terms:

  • One platform, three businesses. EduMaster360 sells to individuals, companies and governments, and resells itself as white-label academies with their own domain, brand and payment accounts, from one codebase and one database. Octopia already runs on it under its own domain, with its courses migrated from its previous LMS.
  • Enterprise-grade isolation. Row-level security on 155 tables, per-academy credentials and two dedicated security sprints mean each client's students, money and data stay theirs.
  • The business runs inside the product. Payments, recurring billing, cost-per-client analytics, affiliates, co-production and legally valid electronic contracts are part of the platform, not spreadsheets on the side.
  • Real usage. 1,000+ lessons across 75 courses, 2,400+ lessons completed and 150+ certificates.

FAQ

What is a multi-tenant LMS for academies?

It is a single learning platform that hosts many academies, each with its own domain, brand, payment accounts and students, while sharing one codebase and one database. EduMaster360 resolves each academy by host and isolates its data with row-level security.

How do you keep one academy's data away from another's?

Every academy is isolated by tenant and row-level security: 155 of 158 tables are protected and 89 are isolated by tenant. Two dedicated security sprints and a CI guardrail keep it that way, and background emails must carry their tenant explicitly.

Which payment gateways does EduMaster360 support?

Four: Stripe, Wompi, ePayco and Bold, with credentials configured per academy. Recurring billing uses tokenized cards with protection against double charges.

Can you migrate an academy from another LMS?

Yes. Octopia, the first white-label client, moved its courses, lessons, quizzes and site from a previous LMS, with a domain switch in production in June 2026.

What does the AI tutor do?

It works in six modes as a personal tutor, alongside a per-course copilot and a configurable public assistant with RAG. AI also helps authors create lessons, quizzes and images, and the model can be switched from the admin without a deploy.

Does WebMinds build platforms for Latin American companies?

Yes. WebMinds is an AI and software development company based in Atlanta, Georgia, that works with companies in the United States and Latin America, and EduMaster360 is built for Latin American payments and billing, including USD pricing charged in COP.
