How GPS Dental Training Runs Its Academy on a Custom Dental Continuing Education Platform (Georgia, USA)

GPS Dental Training is a continuing-education academy for dentists in Georgia, USA, and since 2024 WebMinds has been its engineering partner. Together we built GPS Courses, a dental continuing education platform on WordPress and WooCommerce that runs the academy end to end: course sales, QR tickets, on-site check-in, an immutable CE-credit ledger, branded certificates with public validation, a monthly seminar program, waitlists and print-to-web QR analytics. On top of it sits a WebMinds AI sales assistant that checks live seat availability before it answers. This article explains what we built, why, and how the pieces fit together.

Key facts

  • Client: GPS Dental Training, a continuing-education academy for dentists in Georgia, USA
  • Partnership: 2+ years of engineering, support and security since 2024, with a headless rebuild underway
  • Scope: 10 systems in production, from sales and ticketing to the CE ledger, certificates and the AI assistant
  • Data model: 13 custom data tables beside WooCommerce, with self-healing schema migrations
  • Backend surface: 78 AJAX endpoints, 13 REST routes and 25 WooCommerce hooks, every one behind nonce and permission checks
  • Codebase: 43,000+ lines of custom PHP and 4 scheduled engines

The context: an academy that needed more than a storefront

GPS Dental Training needed its website to do more than sell. It had to run the academy. Tickets, attendance, CE credits and verifiable certificates had to work as one system, something generic event plugins never delivered.

For a dental continuing education provider, the website is not just marketing. It is where a dentist buys a seat, where staff confirm who showed up, and where the record of earned credits ultimately lives. If those steps live in separate tools, the academy ends up reconciling them by hand, usually on event day, when there is the least time to do it.

The challenge broke down into four concrete problems:

  • Compliance-grade records. CE credits are a regulatory matter for dentists, so every credit needs a traceable source, a date and a certificate a third party can validate.
  • Two very different products in one store. One-off hands-on courses with tiered tickets, and a yearly program of ten monthly seminars with makeup sessions and bi-annual certificates, later also sold session by session.
  • Event-day operations. Staff must check attendees in within seconds, handle buyers who register a colleague, and never award credits twice.
  • Seats that change by the hour. Courses sell out, cancellations free up seats, early-bird tiers expire, and prospects ask about availability at any hour.

Why off-the-shelf event and LMS plugins did not fit

Generic event plugins are built around a simple idea: sell a ticket, send a confirmation. Continuing education for dentists asks for much more. A ticket has to become attendance, attendance has to become accreditation, and accreditation has to become a certificate that someone outside the academy can verify.

The plugin route breaks in predictable places. Each plugin has its own idea of who the "attendee" is, so a dentist who buys a seat for a colleague creates ambiguity. Credits tend to be awarded at check-in or by hand, which opens the door to duplicates. And a sold-out course simply stops selling, instead of turning demand into a waitlist.

At the same time, GPS already had a WordPress storefront its team knew how to operate. So we chose a different path: keep the familiar storefront and build a real domain backend inside it. Elementor is only the shop window; roughly 70% of the work lives in the backend, with its own data model, business rules and scheduled engines. That is what we mean by custom web application development: software shaped around how the business actually works.

What we built: GPS Courses, a dental continuing education platform

Ten systems in production, built inside the academy's existing WordPress and maintained as an ongoing engineering partnership. You can see screens of each one on the GPS Dental Training case study page.

Sales and fulfillment engine

Every completed WooCommerce order becomes the right thing automatically: a course ticket, a seminar enrollment or a single-session pass. Guest orders are linked to the account when the dentist signs up, so nothing purchased before registration gets lost.

QR tickets and on-site check-in

Each attendee receives a ticket with its own QR code by email. On event day, staff use a scanner with camera, manual-code and search modes, plus live per-event stats. Check-in records attendance only; it does not award credits.

One scanner, three kinds of pass

Course tickets, seminar enrollments and single-session passes share the same scanner. A typed QR payload routes each scan to the right handler without breaking codes already printed.

One answer to "who attended?"

A buyer can register a colleague. A single function decides the effective attendee, designated or buyer, and check-in, credits, certificate and email all rely on it. One rule, used everywhere, removes a whole class of event-day confusion.

CE credit ledger and certificates

Every dentist gets an immutable credit history. Branded PDF certificates are generated one by one or in bulk, and a public page lets anyone validate a certificate code.

The key decision here was separating attendance from accreditation. Credits are issued when the certificate is generated, not at check-in, and a ledger guard shared with the admin bulk award makes double-awarding impossible, even on regeneration. That is what makes the CE credit tracking compliance-grade rather than a best effort.

Monthly seminar program and waitlists

The yearly program runs ten sessions with makeups, session reminders and bi-annual certificates. When a course sells out, it turns into an automatic waitlist with a 48-hour window for the next person in line.

AI sales assistant with live seat availability

A WebMinds assistant answers prospects around the clock and recovers abandoned carts. Its most important rule is simple: every answer about seats comes live from the platform. When there are no seats on sale yet, it offers the waitlist instead of a promise. This is the kind of practical AI automation we favor: AI that sells only what exists.

Print-to-web QR analytics

Promotional QR codes point to a stable short code, not the page. A redirect layer logs each scan server-side and resolves the live URL, so renaming a course never breaks a flyer, and tracking does not depend on third-party analytics. The dashboard shows scans over time, devices, top codes and countries.

Back office

Behind all of this is a back office for the academy team, with dashboards built on Chart.js, PDF receipts and certificates rendered with TCPDF, and Stripe handling payments.

Hybrid AI Coding

Senior WebMinds engineering owns the architecture and every decision with GPS. AI agents (Claude Code) accelerate implementation, and independent QA agents review every batch of changes before deployment, catching defects before they reach the academy.

Under the hood

GPS Courses is not a theme. It is a domain backend inside WordPress:

  • 13 custom data tables
  • 78 AJAX endpoints
  • 13 REST routes
  • 25 WooCommerce hooks
  • 4 scheduled engines
  • 43,000+ lines of custom PHP
  • 20 custom Elementor widgets

The stack includes WordPress, PHP, WooCommerce (HPOS), Stripe, Elementor, MySQL, TCPDF, Chart.js and our own QR analytics layer.

Timeline

  1. 2024: The engineering partnership with GPS Dental Training begins.

  5. September 2026: Hardened registration, CE credits issued at certification, CSV export and check-in and certificate refinements, each batch reviewed by QA agents.
  6. Ongoing: A headless rebuild is underway on Astro, Strapi and Supabase, with GPS Courses as the source of truth for every business rule.

Results: one platform from checkout to certificate

We only report what we can stand behind. The impact for GPS Dental Training is structural:

  • One platform from checkout to certificate. Sales, tickets, check-in, CE credits and certificates run on one data model, so the academy no longer stitches plugins and spreadsheets together on event day.
  • AI that sells only what exists. The WebMinds assistant talks to prospects around the clock, but every answer about seats comes live from the platform. Sold-out courses turn into waitlist sign-ups, not broken promises.
  • Accreditation the team can stand behind. Every credit has a source, a date and a certificate anyone can validate, and the rules make double-awarding impossible.

FAQ

What is a dental continuing education platform?

It is software that runs a CE provider end to end: selling courses, issuing tickets, checking attendees in, recording the CE credits each dentist earns and producing certificates that can be verified. GPS Courses does all of that on one data model.

How does CE credit tracking work in GPS Courses?

Each dentist has an immutable credit ledger. Credits are issued when the certificate is generated, not at check-in, and a shared ledger guard prevents the same credit from being awarded twice, even if a certificate is regenerated.

Can a third party verify a CE certificate?

Yes. Every certificate carries a code and a QR, and a public validation page lets anyone confirm it.

Why build inside WordPress instead of replacing it?

The academy's team already knew its WordPress storefront. Building a domain backend inside it let the team keep the storefront it knows, while the business rules moved into custom code. Those same rules now serve as the source of truth for the headless rebuild on Astro, Strapi and Supabase.

What does the AI sales assistant do?

It answers prospects at any hour, recovers abandoned carts and checks live seat availability before answering. If nothing is on sale, it offers the waitlist rather than promising a seat.

Does WebMinds work with clients outside Atlanta?

Yes. WebMinds is an AI and software development company based in Atlanta, Georgia, that works with companies in the United States and Latin America. GPS Dental Training is in Georgia; the same approach applies to teams in other states and countries.
